A plumbing office schedules a water-heater estimate in Housecall Pro. The coordinator then copies the customer, rental address and visit window into a preparation sheet. That second entry is the work this integration should remove.

This guide walks through one complete workflow: a scheduled job starts a Zap, the Zap finds or creates its Google Sheets row, and the office uses that row to prepare for the visit. You will see the finished view first, then the columns, configuration and checks needed to build it.

The filled records are fictional. The Housecall Pro trigger and Google Sheets actions are supported by the official documentation linked below; this is a documented build recipe, not a customer case study or an account-tested integration.

THE SHORT ANSWER

Put the scheduled job in the office’s working view.

Use Housecall Pro’s scheduled-job trigger when another team needs an office preparation list. Match rows by Job ID, carry the job’s service address and saved visit window, and give the coordinator space to record the next preparation action. Housecall Pro remains where the dispatcher changes the appointment.

  1. Build: Housecall Pro Job Scheduled → Google Sheets lookup/create → update the matched row.
  2. Result: an exported job beside an office owner, preparation status and next action.
  3. Choose another route when you need native online booking, broader event coverage or a custom write.
01

The finished workflow: a scheduled job reaches the office sheet

In our fictional plumbing example, Morgan’s rental visit is job J-612. The dispatcher saves Tuesday, September 29, 9–11 a.m. in Housecall Pro. The export puts that job in the office sheet. Casey then records that access details still need confirmation. The customer and visit fields come from the source job; the preparation decision belongs to the office.

The useful result is a list the coordinator can work through without retyping each scheduled job. Filter it by visit date and unfinished preparation, then open the original job when the schedule or scope needs attention. The sample below shows that finished office view, including the work that remains.

Which Housecall Pro integration route fits your task?

For this reporting workflow, use the standard connector. Housecall Pro documents its Zapier integration on Essentials, Essentials + and MAX. API access and the separate webhook route have different requirements. The table helps you choose a route for another task without expanding this build unnecessarily.

Prepare the sheet and map the fields

Create a spreadsheet called “Scheduled Jobs — Office Prep” with a worksheet named “Jobs.” Put the column headings in row 1 and keep one consistent table. Zapier’s Google Sheets formatting instructions cover header placement and the editor permissions needed to write rows.

Use the headings below as your business columns. They are not an API payload. Download the setup checklist and filled record to copy the headings, mapping and acceptance checks without entering an email address.

Start with one Housecall Pro account in this sheet. JobID is the lookup key; CustomerName is display context. When a customer has two jobs, those jobs need separate rows even if their name and telephone number match. If you later combine accounts, add the account reference to the key.

Set up the office’s working view

Freeze the heading row and create a filter view for the visit dates being prepared. Include blank PrepStatus cells as well as unresolved items: a newly exported job has not yet been reviewed. A coordinator fills OfficeOwner, PrepStatus and NextAction; a blank owner is work to assign.

Keep the underlying worksheet structure steady while the Zap is active. Pause and retest the Zap before changing headings or column positions. The office can use a filter view to inspect its work without turning the integration’s target into several differently shaped tables.

04

Build the Zap: scheduled job → find or create row → update row

Housecall Pro’s Zapier walkthrough demonstrates a scheduled job going to Google Sheets. We extend that example with a lookup before the update, following Zapier’s find-and-update instructions. The lookup makes the job reference determine which row receives the data.

Connect Housecall Pro from My Apps → App Store → Zapier. Enable the integration and use the credential shown there in Zapier’s Housecall Pro connection. Connect the Google account that can edit your preparation sheet. Keep that credential in the connection setup.

  1. Trigger: choose Housecall Pro and Job Scheduled. Load a controlled scheduled job and identify its Job ID, Customer Display Name, service-address fields and start/end values.
  2. Lookup: add Google Sheets → Lookup Spreadsheet Row. Select your spreadsheet and Jobs worksheet. Set Lookup Column to JobID and Lookup Value to the trigger’s Job ID.
  3. Creation: enable “Create Google Sheets Spreadsheet row if it doesn’t exist yet?” Map the new row’s job fields using the field map above. Leave office decisions blank for the coordinator.
  4. Update: add Google Sheets → Update Spreadsheet Row for the same worksheet. Set Row to the ID returned by the lookup step. This is the Google Sheets row ID, not the Housecall Pro Job ID.
  5. Mapping: map the current trigger’s customer, service address and visit values. Carry OfficeOwner, PrepStatus and NextAction from the lookup result so a later export retains existing office notes. Test that preservation on an edited sample row.
  6. Completion: run the controlled example, open its resulting sheet row and compare it with the source job. Run the same example again, check the row count and office notes, then enable the Zap when the checks below pass.

Why two different IDs matter

For fictional job J-612, the lookup may return sheet row ID 7. J-612 answers “which job?”; row ID 7 answers “where should Google Sheets write?” Passing J-612 into the Row field, or hardcoding row 7 for every job, breaks that relationship. Choose the lookup’s returned ID dynamically.

A repeated sequential run should find the existing row and keep Casey’s preparation note. A lookup is not an atomic uniqueness guarantee for simultaneous runs. If overlapping deliveries can occur in your process, add a serialized or otherwise protected processing design before relying on one row per job.

05

Follow J-612 through one complete export and office review

This fictional history follows the same rental visit shown above. Times illustrate the sequence, not a promised connector latency. The office can trace the scheduled source job, the row that received it and the preparation decision without treating every step as a new customer or appointment.

Later · access is confirmedCasey records the arrangement in the job and marks preparation Ready. The preparation item is complete; the original appointment remains in Housecall Pro.

The next action is specific enough to complete

“Confirm how the technician enters the rental and record the access note on J-612” gives Casey a finish line. “Follow up with Morgan” does not explain which property or what information is missing. Keep necessary access instructions in the appropriate job record and use the shared sheet for the action and completion state.

At the daily preparation review, compare the relevant Housecall Pro jobs with the sheet, resolve missing or changed visits, and assign blank owners. This first version combines an automated export with an office check; broader synchronization can be scoped after that working process is useful.

06

Use the job’s rental address, not the customer’s home address

Morgan has a home and a rental under the same contact. In this example, the dispatcher chooses the rental when creating J-612. The integration maps the job’s Service Address fields. Mapping a general customer address could put the home in the preparation list even while the scheduled job correctly identifies the rental.

Housecall Pro’s multiple-address guide explains the difference between addresses under one contact and sub-customers. Use the former when the contact and billing relationship fit; review sub-customers when locations need different responsible contacts.

For a suitable single-contact setup, add the rental address under the customer, preserve the unit detail, and select it in the new job. The native job creation instructions cover customer selection, service details, scheduling and dispatch. Compare the saved job address with the exported row as part of the test.

07

Test the finished workflow before the office relies on it

Use a controlled source job and a test worksheet. The office coordinator should perform the final check because the handoff is complete only when its view contains the information needed to prepare the visit. Keep a short record of these results in the setup checklist.

08

Repair the specific failed step

Start with the job reference. If Zapier received no event, compare the source state and trigger. If lookup found nothing, inspect JobID and the selected worksheet. If an update used the wrong row, check its dynamic row ID. If the address is wrong, compare the source job’s service location with the mapped address fields.

A timeout can leave a successfully written row even when the run appears unresolved. Search the sheet by JobID before replaying. A successful export that later becomes stale needs a schedule review or broader change coverage; creating another Housecall Pro job will not repair it. Our integration troubleshooting guide walks through tracing an incomplete handoff.

09

If the missing step is customer booking, start with Online Booking

The sheet workflow starts after a job is scheduled. If customers cannot book the right service in the first place, improve the native booking flow first. Housecall Pro’s service-area instructions explain the territory and employee assignments that affect availability.

  1. In Settings → Company → Service area, enter the ZIP codes you serve and save each entry with Enter.
  2. In Settings → Booking → General, enable the restriction to your service area.
  3. Check that employees enabled for Online Booking are assigned both the selected service and its service area.
  4. Test an included ZIP, an excluded ZIP and each service offered online. Have the dispatcher inspect the saved customer, address and appointment.

Covered ZIP, unavailable service

In a fictional plumbing setup, Morgan’s rental ZIP is covered, but the online employee is assigned drain service rather than water-heater estimate visits. The office corrects that service assignment if it intends to offer the visit online. If replacement estimates require office qualification, it keeps an owned request-and-confirmation process for that service.

10

When this workflow needs webhooks or a custom API

Extend the build when the requirement is materially broader: reflect all supported schedule changes, create work from an external intake, or combine several systems into one reviewed queue. List the extra events, reads and writes before choosing the implementation.

The standard connector documents Create New Customer as its Housecall Pro action. Creating a customer does not create a booked visit. Housecall Pro’s API overview requires MAX and says not every feature is exposed; its separate Zapier webhook route also requires MAX and Webhooks access in Zapier.

For a custom version, have the builder demonstrate the required operations, changed-visit handling and failed-write repair on authorized test records. Keep the scheduled-job export as a clearly defined first release rather than promising complete two-way scheduling from this recipe.

11

Scope the first build around this finished office result

A useful scope reads: “Export scheduled Housecall Pro jobs into our preparation sheet, match by Job ID, retain office notes and show the coordinator what needs preparation.” Attach one anonymized source job, the column map, the test checklist and the owner who will review failures.

Separate initial configuration from ongoing subscriptions and upkeep. The handover should identify the connection owner, target worksheet, field map, known event gaps and repair instructions. Record how the office will review tomorrow’s jobs and who retests after a column or connector change.

To assess value, count the repeated entries the office currently makes and measure the preparation work it still needs after exporting. Track missed or corrected handoffs as well as copying time. This workflow does not establish a revenue lift or remove the coordinator’s decisions.

Our CRM & sales tracking service can build this specific handoff. If you are still choosing the operating system, our contractor CRM comparison covers broader fit. The CRM and spreadsheet ownership guide helps when several tools share the work.
