GoodHandoff build checklist · documentation checked September 28, 2026

The records below are fictional. This is a documented setup recipe, not a
customer case study or a tested connection to your accounts.

## Finished result

A scheduled Housecall Pro job appears in one Google Sheets row. The office adds
its preparation owner, status and next action. The dispatcher continues to change
the actual appointment in Housecall Pro.

Fictional filled record:

| Column | Example |
| --- | --- |
| JobID | J-612 |
| CustomerName | Morgan |
| ServiceStreet | 28 Example Lane |
| ServiceStreet2 | Unit B · rental |
| ServiceCity | Springfield |
| ServiceState | IL |
| ServiceZIP | 62704 |
| VisitStart | 2026-09-29T09:00:00-05:00 |
| VisitEnd | 2026-09-29T11:00:00-05:00 |
| OfficeOwner | Casey |
| PrepStatus | Needs access details |
| NextAction | Confirm rental entry arrangements and record the access note on J-612. |

These column names are business headings. The example timestamp format and IDs
are illustrative; preserve the values and time zone supplied by your actual job.

## Prepare the destination

- Spreadsheet: Scheduled Jobs — Office Prep.
- Worksheet: Jobs.
- Row 1 headings, in order: JobID, CustomerName, ServiceStreet, ServiceStreet2,
ServiceCity, ServiceState, ServiceZIP, VisitStart, VisitEnd, OfficeOwner,
  PrepStatus, NextAction.
- One Housecall Pro account in this first version; add account identity if
  combining accounts later.
- JobID is the lookup key. CustomerName is a display value.
- Housecall Pro owns the first nine fields. Office staff maintain the last three.
- Include blank preparation statuses in the office's unfinished-work filter.

## Connect and configure

1. Enable Housecall Pro's Zapier integration through My Apps → App Store →
Zapier. Use its credential in Zapier's Housecall Pro connection.
2. Trigger: Housecall Pro → Job Scheduled. Load a controlled scheduled job.
3. Lookup: Google Sheets → Lookup Spreadsheet Row. Select your spreadsheet and
Jobs. Lookup Column = JobID. Lookup Value = the source Job ID.
4. Enable the option to create a row when none is found. Map the source fields;
   leave new office decisions blank.
5. Update: Google Sheets → Update Spreadsheet Row. Select the same worksheet.
Row = the ID returned by the lookup, not the source Job ID.
6. Map Customer Display Name, Service Address Street/Street Line 2/City/State/Zip,
and Schedule Information Start Time/End Time to the corresponding columns.
7. Carry OfficeOwner, PrepStatus and NextAction from the lookup result into the
update so existing office decisions are retained. Test an edited sample row.
8. Open the destination, compare it with the source job, run the same sample
sequentially again, and inspect the row count and retained notes.

The recipe has a trigger plus two actions. Zapier's multi-step capability is on
paid plans; its Free plan supports two-step Zaps. Housecall Pro's standard
connector is documented on Essentials, Essentials + and MAX. Confirm current
plan and usage costs for your accounts.

## Acceptance record

Complete the Result column from your actual controlled checks.

| Check | Expected result | Result |
| --- | --- | --- |
| First scheduled job | Correct job, property and visit in one row | |
| Sequential repeat | Existing row; office notes retained | |
| Second job for same customer | Separate row for the second Job ID | |
| Customer with home and rental | Scheduled job's rental address mapped | |
| Time-zone display | Actual source window represented correctly | |
| Reschedule or cancellation | Observed coverage recorded; office catches gaps | |
| Failed or uncertain write | Destination inspected before replay | |

The lookup is not an atomic uniqueness lock for simultaneous runs. If overlapping
deliveries can occur, require a protected or serialized design. A basic scheduled-
job export does not establish complete coverage of all later schedule changes.

## Daily office use and repair

1. Compare the relevant upcoming Housecall Pro jobs with the exported list.
2. Assign blank OfficeOwner values and review unfinished preparation.
3. Record necessary access details in the job, then update preparation status.
4. For a missing row, inspect trigger receipt, JobID lookup and dynamic row ID.
5. For a wrong address, inspect source selection and the mapped service address.
6. For an uncertain write, search by JobID before replaying.
7. Pause and retest before changing the target worksheet's structure.
