Be available when
your team can’t be.
A customer may call after dinner, on a weekend, or while your team is already helping someone else. An AI customer service representative—an AI CSR—can answer the incoming call, explain the next step, and capture the information your team needs.
Start with the gap you actually have. An overnight agent should know the office is closed. An overflow agent should know when and how to transfer to a person. Neither should promise a response time your business has not agreed to meet.
Keep intake open.
Answer routine questions and prepare the next business-day task.
Catch the extra call.
Use the agreed routing when staff are unavailable or the line is busy.
Set the right expectation.
Use the actual operating calendar, including closures and exceptions.
This can serve a home-service estimate request, a property-management inquiry, an agency consultation, or a professional-services discovery call. The script and escalation rules should fit the business—not sound like a generic answering service.
A real next step.
Even at 9:42 PM.
In this fictional example, a commercial cleaning prospect calls after the office closes. The AI has approved information about services and hours. It can collect details for the estimating team, but it cannot price the job.
Thanks for calling Example Cleaning. I’m the AI receptionist. The office is closed, but I can help with a few details for the team. What can we help you with?
We need our office cleaned twice a week. How much would that cost?
That depends on the space and service requirements. I can take your details so the team can discuss the scope and next step. What city is the office in?
Overland Park. Could someone call me tomorrow morning?
I can note that preference for the team, which reopens at 8 AM on the next business day. It isn’t a confirmed callback time yet. May I take your name and best callback number?
After confirming the contact details, it creates an assigned CRM task with the request and preferred window. The morning team sees what remains to be discussed. No quote, site visit, or callback time is marked confirmed.
The call flow should handle corrections naturally: a different phone number, a misspelled name, or a changed request. The destination record needs those corrections too.
Book what’s available.
Escalate what isn’t.
If your calendar supports the required connection, the agent can offer approved availability and request a booking. It should confirm the appointment only after the calendar accepts it. When the calendar is unavailable, it captures a request for follow-up instead.
Help on the call
Hours, services, service area, and the agreed appointment process.
Book the next step
Read the actual schedule, save the appointment, and retain its reference.
Give it an owner
Transfer when an appropriate person is available, or create a clear follow-up task.
An overnight call cannot be transferred to a team that is offline. Agree the fallback, who checks it, and what the caller is told. Urgent requests need your business’s approved escalation procedure; the AI should not improvise advice or imply emergency coverage you do not provide.
A failed CRM update should remain visible and recoverable. A call ending normally does not mean the handoff succeeded. See how to verify the destination →
After-hours coverage.
Without the management markup.
We build and configure your AI receptionist in accounts your business controls. You get the delivered workflow, agent configuration, approved call instructions, and operating documentation.
The agreed build
Pay GoodHandoff for implementation, integration, testing, and handover.
Your running costs
Pay the underlying tools for usage and any required subscriptions. GoodHandoff adds no markup to those provider charges.
Ongoing help
Operate the system with your team or choose a separate, defined support arrangement.
You do not need a required monthly GoodHandoff managed-AI plan to keep using the delivered system. Your business still needs someone to review exceptions, update business information, and maintain access when providers or your process change.
You own the delivered work, not the third-party platforms themselves. Their software remains subject to their terms. We document the dependencies and access at handover so you know where the system runs and how to manage it.
Know the build price.
See the running costs.
An AI receptionist is scoped around what it must say and do: hours of coverage, services, locations, transfers, calendar access, CRM updates, and fallback behavior. Voice implementations receive a specific quote; the $1,500 simple-workflow starting price is not a complete AI CSR package.
GoodHandoff’s broader workflow projects are typically scoped around $2,500–$5,000. A voice system with several locations, complex routing, or custom integrations may require a larger scope. We separate implementation from provider costs before you commit.
Call volume and duration matter. So do phone-number fees, model choices, add-ons, and any other services your configuration uses.
The tools are part of your build—not a mystery bundle.
A voice platform option. Its pricing page separates usage and additional charges.
Call transfer documentation ↗Review supported transfer behavior when a live human handoff is part of the scope.
Your CRM & calendar ↗We check account access and supported operations before promising a connection.
We compare tools for the job and expected volume, then configure the agreed accounts directly. Your proposal identifies usage assumptions, required subscriptions, and who pays each provider, so you can see the cost of running the system before the build starts.
Test the night shift.
Then the morning handoff.
Before routing real calls, run a controlled set of examples through the actual destination systems. Check the record your team will use, not just whether the conversation sounded good.
- After-hours rules: correct timezone, weekends, holidays, and reopening expectations.
- Ordinary intake: complete contact details and one correctly assigned CRM task.
- A changed detail: the corrected phone number or request reaches the final record.
- An unavailable slot: no appointment claimed without calendar confirmation.
- A failed transfer: an honest fallback and a visible task with an owner.
- An unsupported question: no invented price, service promise, or answer.
Agree recording, disclosure, and data-handling settings before activation. Keep the information the agent uses current. Review missed handoffs and corrections as well as call counts.
